Trailer Leasing Software Development
How a Trucking Company Replaced Spreadsheets With Custom Trailer Leasing Software
A&I was leasing dry vans and reefers from spreadsheets and email, missing renewals and chasing charges by hand. We built a trailer leasing system from scratch that runs inventory, leases, billing, maintenance, and alerts in one place.
- Fewer missed lease renewals
- 75%
- Faster lease processing
- 60%
- Hours saved weekly on reconciliation
- 15+
Client Overview
Client Story
A&I Transport and A&I Express serve 500+ trucking companies across 48 states from Watsonville, California. Alongside fleet fuel cards, they lease dry van and refrigerated trailers to carriers. Daryn Duff is the CTO.
The trailer business had no system of its own. Which trailers were out, with whom, and until when lived in spreadsheets. Lease applications and agreements went back and forth by email and paper, so nobody could see which deals were waiting for approval. Charges were added in one place and invoiced in another, bank rejects and QuickBooks were matched by hand, and a lease could run past its end date before anyone noticed. A reefer running warm or a trailer overdue for service depended on someone remembering, damage disputes were noted wherever was handy, and no one could say which trailers or customers actually made money.
Background
Project Background
Daryn needed a complete trailer leasing system, from first lead to final invoice. The brief:
- One Trailer Record
- Inventory, customers, and lease history in one database.
- Leases Without Paper
- Applications, agreements, and approvals online.
- Billing That Adds Up
- Charges invoiced and reconciled automatically.
- Nothing Missed
- Alerts for renewals, maintenance, and reefer issues.
Right now, we’re running trailers on spreadsheets and email. We miss lease renewals, lose track of maintenance, and billing is a constant headache. There’s no real system and just a lot of manual work and things falling through the cracks.
Discovery
Research & Ideation
With no system to replace, we designed around the life of a lease and the trailer behind it.
The Trailer Is the Center
Every lease, charge, issue, and dollar of revenue links back to one trailer.
Dates Drive the Business
Start dates, end dates, and service dates trigger alerts instead of relying on memory.
Money Follows the Lease
Charges flow from lease to invoice to bank and QuickBooks without retyping.
Design
Designing the Full Trailer Lease Lifecycle
Each lease moves through one tracked path, from a new lead to a reconciled payment.
- Trailer LeadCaptured in the pipeline
- ApplicationSubmitted and approved online
- Active LeaseAgreement, dates, and charges
- InvoiceLease by day and open charges
- ReconciledWells Fargo and QuickBooks
The System Remembers So People Don’t Have To
Every date and condition that used to slip through now raises an alert, so renewals get offered on time and trailers get serviced before they fail.
- Lease ending soon Renewal reminder
- Reefer temperature Out of range
- Service due Maintenance scheduled
- Lease past end date Past due
- Damage charge Added to next invoice
Challenges
Project Challenges
No Trailer or Customer Database
Inventory and customers were tracked by hand.
Paper and Email Leases
No digital applications, approvals, or record of changes.
Charges Tracked Separately
Open charges, invoices, and revenue were slow to reconcile.
No Automated Alerts
Expirations, maintenance, and reefer issues went unflagged.
Informal Issue Logging
Repairs and disputes had no resolution tracking.
Manual Bank and QuickBooks Matching
Wells Fargo rejects and QuickBooks sync caused delays and mismatches.
No Revenue Visibility
No view by trailer, client, or month, so profitability was unknown.
No Lead Pipeline
Trailer leads and applications were not followed up.
Couldn’t Scale
Manual work could not keep up as the fleet grew.

Support
On Going Support
A&I has worked with our dedicated developers since 2018, and the trailer system keeps growing with the fleet.
Built for Their Operation
Designed around how A&I leases, bills, and services trailers.
Features on Request
New tools are added by the developers who built the system.
One Team Across the Platform
We also built A&I’s admin portal, carrier portal, and fuel finder. All five systems form one fleet fuel platform.
Mohsin Baloch and the iCommuneTech team built our trailer system from scratch, and it’s been a game-changer. We finally have control over leases, maintenance, and billing. They’re still helping us add features, and we’re glad to have them on board.
Impact
Project Outcome
- Fewer missed lease renewals
- 75%
- Faster lease processing
- 60%
- Faster maintenance resolution
- 50%
- Hours saved weekly on reconciliation
- 15+
Figures reported by A&I Transport.
Before: spreadsheets and email
- Leases on paper and email
- Renewals noticed too late
- Charges and payments matched by hand
- No idea which trailers earn
After: one leasing system
- Applications and approvals online
- Alerts before every lease ends
- Billing and reconciliation automated
- Revenue by trailer, client, and month
A&I now sees every dry van and reefer, who has it, and when the lease ends, with renewal reminders before a lease runs out and maintenance flagged before a trailer fails.
Charges invoice by the day, bank rejects and QuickBooks reconcile without retyping, and revenue reports show which trailers and customers make money.
