Logistics TMS Automation
How a California Logistics Company Cut Dispatch Alerts to Under 1 Minute
A port-side logistics company handling 200 containers a day ran dispatch, billing, and paperwork by hand on an aging system, with no IT team. We modernized it in Laravel and connected SMS alerts, EDI, QuickBooks, DAT market rates, and AI document reading, so drivers, customers, and staff hear about a dispatch in under a minute.
- From dispatch to notification

Client Overview
Client Story
Transportation of America is a logistics company in Pomona, California, led by CEO Anthony Woods and running for 17 years. From a 100,000 sq. ft. facility with 55 dock doors near the Ports of Los Angeles and Long Beach, it unloads and reloads about 200 containers a day. The company offers cross-docking, transloading, and warehousing, and consolidates LTL, dry and refrigerated truckload, flatbed, and intermodal freight for shipping nationwide.
All of that ran on an aging PHPMaker system, and there was no in-house IT team to change it. When a load was dispatched, nobody was notified automatically, so drivers, customers, and staff were updated by hand. Rate confirmations arrived as PDFs and were retyped field by field. Carrier invoices were keyed into expenses and then into QuickBooks, and EDI was not connected at all. Without a driver’s live location, customers called to ask where their load was. The old system could not take modern APIs or AI, so every fix meant more manual work.
Background
Project Background
Anthony wanted transportation to feel simple again: less burden on his staff, and drivers, loads, and customers that are easy to manage. The brief:
- Instant Notifications
- Alert drivers, customers, and staff the moment a load is dispatched.
- Connected Billing
- Generate and send invoices, synced with EDI and QuickBooks.
- Live Driver Visibility
- See where drivers are without phoning them.
- Less Paperwork
- Read and verify documents and rate confirmations automatically.
Our system is too old to update or add AI. No IT team, no invoice automation, no doc verification. Everything’s manual from SMS, tracking, EDI, to QuickBooks. It’s slowing us down.
Discovery
Research & Ideation
The bottleneck was not one missing feature. It was people carrying information between the system, drivers, customers, and accounting by hand, at every step of every load.
Notify on the Event, Not by Hand
Dispatching a load should trigger every message it needs, without anyone typing them.
Read Documents, Don’t Retype Them
Rate confirmations and carrier invoices already hold the data, so AI can extract it into the system.
Connect Where Money Moves
Invoices, EDI, and QuickBooks should share the same records, so reconciliation stops being a separate job.
Design
Designing an Automated Load Lifecycle
Every load now moves through five steps, and the system handles the paperwork and messages at each one.
- Load BookedAI reads the rate confirmation PDF
- Load PricedDAT market rates and lane history
- Load DispatchedSMS and email to driver, customer, staff
- Load DeliveredPOD captured and documents verified
- Load BilledInvoice, EDI, and QuickBooks in sync
Carrier invoices follow the same path in reverse: AI reads them into the expense list and the QuickBooks ledger.
Challenges
Project Challenges
No Automatic Notifications
Drivers, customers, and staff were not alerted on dispatch, causing delays and miscommunication.
No EDI or QuickBooks Integration
Manual invoicing caused billing delays and reconciliation errors.
No Live Driver Location
Poor visibility led to missed ETAs and customers calling to ask where their load was.
Manual Documents and Rate Confirmations
Verification and data entry by hand raised error rates and slowed processing.
A Legacy System and No IT Team
The PHPMaker system could not support AI, automation, or modern APIs, and nobody in-house could change it.
Approach
Our Solutions
We modernized the system in Laravel, then added the automation and integrations that removed the manual handoffs.
Dispatch Notifications by SMS and Email
Dispatching a load alerts the driver, the customer, and staff automatically.
EDI and QuickBooks Integration
Loads, invoices, and ledgers stay in sync across EDI and QuickBooks.
AI Rate Confirmation Reader
Rate confirmation PDFs are read by AI, and their details are added to the load automatically.
AI Carrier Invoice Reader
Carrier invoices are extracted into the expense list and the QuickBooks ledger.
Proof of Delivery and Document Verification
PODs are captured and documents are read and verified without manual checks.
Rate Metrics and DAT Market Rates
Lane history shows average, minimum, and maximum rates and delivery counts, beside current DAT market rates.
Live Driver Location
Dispatchers and customers can see where a driver is without calling.

Custom Features
Custom Functionalities
The engineering decisions behind a system that now does the work a missing IT team used to leave undone.
Event-Triggered Messaging
Each dispatch fires the right SMS and email to every party in the same moment.
Live Updates With Pusher
Status changes appear on screen as they happen, without a page refresh.
AI Extraction Into Structured Fields
Rate confirmations and carrier invoices become load, expense, and ledger records, not just stored PDFs.
Lane-Level Rate History
Past loads on the same route produce average, minimum, and maximum rates for pricing new ones.
Role-Based Users
Dispatchers, accounting, and managers each work with the tools and data their role needs.
Custom API for Other Platforms
A dedicated API lets the whole system connect to other software as the business grows.
Support
On Going Support
The modernization was delivered as a fully outsourced project. Since launch, a dedicated iCommuneTech team handles ongoing updates.
The IT Team They Didn’t Have
A dedicated team now maintains the system and builds what the business needs next.
Trained Drivers and Staff
Drivers and staff were trained during testing, before the pilot and full rollout.
Ready for More Automation
A modern Laravel base and a custom API leave room for more AI and integrations.
iCommuneTech became our IT team. They modernized our old system and added everything we were missing. AI for rate confirmations and carrier invoices, document verification, POD, SMS/email alerts, EDI, QuickBooks, DAT rates, and real analytics. Dispatch is under a minute, and we’re finally automated.
